Executive Administrative Assistant

Tenneco Northville, MI (Onsite) Full-Time

The Executive Administrative Assistant is based onsite at the Northville, MI facility and provides high-level administrative support and assistance to VP’s and related executives. The Executive Administrative Assistant manages schedules, coordinates travel arrangements, and performs administrative tasks to support the leaders. This role also emphasizes analytical processes and performs analyst responsibilities including gathering data, utilizing analytical programs (Excel, database software, etc). This role is required to be onsite a minimum of three days per week, with additional days as needed.

Essential Duties and Responsibilities

  • Maintains Outlook Calendar, schedules meetings, and arranges travel and accommodations for the VP’s globally and domestically. Manages expense systems on behalf of the VP.
  • Attends all staff meetings (with VP or on behalf of VP) and takes notes on meeting discussions.  Records meeting minutes.
  • Represents the team onsite and receives all incoming matters in the event that the VP is traveling or otherwise out of office.
  • Performs administrative tasks including preparing letters, memos, invoices, reports, PowerPoint presentations and other documents.  Manages incoming communications (mail, e-mail, fax, etc.) on behalf of team, and summarizes and/or distributes to appropriate recipients.  Maintains records and orders supplies.
  • Compiles and analyzes enterprise’s data using Microsoft Excel and composes such data into visual graphics and presentations using Microsoft PowerPoint.
  • Gathers, prepares, and summarizes spend reports, exception reports, and compliance/non-compliance reports as required and structured by team.
  • Distributes and socializes Corporate Sourcing and relevant plans, initiatives, and results to appropriate stakeholders in the organization.
  • Ensures the availability of optimal reporting tools for management and the Sourcing end-user community by developing and maintaining a catalog of available reports and analytical tools.
  • Performances additional duties as assigned and participates in special projects as required.

Minimum Requirements

Education:  Associate’s Degree is required.  Bachelor’s Degree is preferred.

Experience: Minimum 5 years of experience providing administrative support to executive-level leaders.

Skills

  • Advanced proficiency in Microsoft Excel, with ability to use functions, work across multiple worksheets and workbooks, and to import and export information.
  • Demonstrated analytical ability and understanding of Database relationship knowledge.  Familiarity with Database inquiry tools, such as MS Access, SQL, and/or Business Intelligence (BI) tools.
  • Ability and willingness to respond quickly and appropriately in a dynamic, high-charged work environment. Analytical thinker with fact-based decision-making skills.
  • Ability and willingness to understand and interact with diverse groups and cultures.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with an ability to manage multiple tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
