HR Payroll & Administrative Specialist

This is a great opportunity to join our team as an HR Payroll and Administrative Specialist in our Global Business Center in Bucharest.

In this role you are responsible for the payroll accuracy and employee database administration, from hire to exit. The HR Payroll & Administrative Specialist is responsible for the data processing, including entering, maintaining, auditing, and processing sensitive employee data, as well as other office related information, such as Employees Environmental, Health and Safety documentation.

Provides support to the HR Manager for all legal and compliance matters and ensures policies and procedures are in place and updated.

What you will do:

  • Administrate the time & attendance system, benefits platform and ensures employee data changes are reflected in the different HR databases; manages the relation with suppliers.
  • Manage all Environment, Health and Safety (EHS) activities across the site: creates all efforts and procedures for identifying workplace hazards and reducing accidents; develops the safety plan across the site; ensures the first aid team exists and is constantly trained; assure that all legal required medical activities are organized and completed; ensures the EHS documentation is created, documented correctly and updated according to the legislation, etc.
  • Participate in the creation, documentation and constant update of the Internal Regulation applicable for all legal entity’s employees.
  • Provide support during Collective labor negotiations, prepares necessary documentation
  • Prepare all necessary information for payroll processing and provides to the external payroll partner all data for payroll calculation (time & attendance sheets, contract changes, new hires, exit, bonuses, benefits, etc).
  • Work closely with the Finance department and provides monthly reports, accruals, as requested.
  • Provide requested information during statutory and /or corporate audits.
  • Provide accurate, consistent, and timely responses to reporting inquiries (from stakeholders, employees, authorities, collaborators), which are of moderate complexity and may require additional research and analysis.
  • Assist with creating or updating internal training tools and process manuals for team members to maximize the effective use of the time& attendance system, the benefits system.
  • Implements legislative changes.
  • Participate in market data analysis by filling in market data questionnaires.
  • Offer support to HR Manager for different HR processes (recruitment, induction, development, performance management, reward and recognition, etc).
  • Suggests operational process improvements, reduce manual processes, resulting in efficiencies.
  • Ensure compliance with Company’s data administration rules, security standards, GDPR as well as HR policies and procedures.
  • Manages all the administrative and operational aspects of the office functions: access control, and that all the proper legal documentation is in order.
  • Offers continuous support to the new and existing employees in terms of office files, reports and internal or external communication.

What will make you successful:

  • University degree.
  • 3+ years of professional HR experience, with a focus in payroll, employee administration, employee relation and/or compensation and benefits.
  • Relevant knowledge in legislative matters, law application.
  • Relevant knowledge in the EHS legislation (the required EHS certification is considered a plus).
  • Very good level of English, verbal and written.
  • Excellent computer and data entry skills and proficiency with Microsoft Office.
  • Strong attention to detail.
  • Excellent customer service and communication skills, including ability to interact and effectively communicate within Company (both verbal and written).
  • Ability to navigate computerized data entry system or other relevant applications.
  • Ability to prioritize and handle multiple assignments, follow through, and willingness to be flexible in a fast-paced environment.
  • Ability to self-manage key deliverables and deadlines.
  • Ability to handle highly confidential information with discretion and professionalism.
  • Experience working with shared services technology (e.g., case management) or HR systems (preferred).
  • Experience in SAP SuccessFactors (preferred).
