Administrative Support Specialist

Arconic Lancaster, PA (Onsite) Full-Time

Arconic is currently in search of an Administrative Support Specialist to join our team in Lancaster, PA.

At our 1.3 million square-foot plant, we offer a variety of products--from painted sheet to blanked products. What we produce here is found in a wide assortment of end products, such as truck cabs, cookware and construction materials. We also produce brazing sheet used by auto manufacturers to make evaporator and condenser components. Another capability, for which we are well known, is the production of machined cast plate used in a number of diverse products, ranging from robotics to medical instruments.

The Administrative Support Specialist is responsible for providing administrative support to assist Arconic Lancaster Operations achieve plant goals as outlined in the Arconic Lancaster Operations business plan. They are primarily responsible for administrative activities of the Engineering, Finance and Maintenance Departments.   The Administrative Support Specialist will provide support to other areas as directed by Engineering Manager to meet plant goals. The incumbent also provides administrative support to the Director of Operations, as well as ad hoc support to other members of the Lancaster Lead Team. 

Key Accountabilities

  • The incumbent facilitates and maintains the major maintenance and capex budget process including summary and monthly reporting.
  • Assembles, publishes and distributes the monthly Engineering status report and Operations Weekly notes.
  • Prepares final version of electronic request for appropriation (eRFA’s) for electronic approval routing after adding budget details and checking for completeness with regards to QS data, EHS data, asset information, and Capital versus Expense documentation.
  • Prepares job Closing Notices, gathers completed files, and circulates for electronic approval.
  • Alerts originators in balancing monies spent on Capital/Expense jobs as needed.
  • Provides Oracle reports supporting job spending to originators, if requested.
  • Prepares Asset Disposal forms and circulates for electronic approval and enters permanent database.
  • Defines physical assets for finance asset tracking
  • Maintains and updates all engineering specifications.
  • Prepares and circulates approval and closing routing of Engineering Services’ Request (ESR).
  • Works closely with Project Leaders to prepare the Monthly Project Status Reports
  • Tracks and follows up with all electronic routing of eRFA, job Closing Notices, ADAR’s, and ESR’s.
  • Maintains office equipment and supplies and scheduling and maintaining of meeting rooms for events.
  • Serves the engineering department as the Quality Systems manual coordinator and provides necessary administrative services for the department Quality Systems documentation.
  • Processes Purchase Orders for various departments within Oracle.

Basic Qualifications:

  • 3 years of experience in an administrative position
  • 3 years of experience in managing excel spreadsheets
  • 1 year experience in data entry

Preferred Qualifications

  • Associates degree (two-year program) in Business or Accounting
  • 5 years previous experience in an administrative position
  • 1-3 years basic accounting experience
