HR FMLA Specialist

The HR FMLA Specialist position combines general HR support with specialized expertise in managing the Family and Medical Leave Act (FMLA) process. This role is responsible for providing comprehensive HR support across various functions, including recruitment, onboarding, employee relations, and benefits administration, while also overseeing all aspects of FMLA leave management. The position ensures compliance with federal and state FMLA regulations and serves as a primary contact for employees regarding FMLA-related inquiries.

Primary Responsibilities:

  • Employee Relations:
  • Serve as a point of contact for employee inquiries related to HR policies, benefits, and procedures.
  • Assist in resolving employee issues and escalating concerns to HR management when necessary.
  • Maintain and update employee records in the HRIS system, ensuring data accuracy.
  • FMLA Administration:

  • Compliance and Reporting:
  • Collaboration with Other Departments:
  • Review and process FMLA leave requests, ensuring compliance with federal and state regulations.
  • Provide timely and accurate notifications to employees regarding their FMLA rights and responsibilities.
  • Track and manage FMLA leave usage and maintain confidential records of all related documentation.
  • Serve as the primary contact for employees regarding FMLA-related questions and concerns.
  • Educate employees on the FMLA process, including eligibility, required documentation, and responsibilities.
  • Coordinate with managers to facilitate the return-to-work process after FMLA leave.
  • Monitor and ensure compliance with FMLA regulations and update HR management on any changes in the law.
  • Conduct audits of FMLA documentation and processes to ensure adherence to legal and company standards.
  • Prepare and submit reports related to FMLA leave usage and trends.
  • Work closely with payroll to ensure accurate handling of pay during FMLA leave.
  • Coordinate with benefits administrators to ensure the proper application of benefits during FMLA leave.
  • Collaborate with the HR team to align FMLA processes with other leave policies and procedures.

Basic Qualifications

  • Bachelor’s degree in human resources, business administration or related field. 
  • Minimum five years’ prior experience in human resources.
  • Familiarity with federal and state leave laws, including the Family and Medical Leave Act (FMLA).
  • Experience working in a unionized workforce. 
  • Legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.

  • Strong knowledge of HR practices and FMLA regulations.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational and multitasking abilities.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in HRIS, leave management systems, and Microsoft Office Suite.
