Purpose:

We are looking for an energetic professional with a passion and expertise for administrative support to join our global wealth team. This role will support global wealth leadership team and field office staff with calendaring, travel, expense reimbursement, minutes, requisitions, purchase order processing and other administrative duties.

Accountabilities:

  • Provide exceptional support that includes, but is not limited to, scheduling meetings, calendar management, travel coordination, expense reporting, maintaining contacts and distribution lists, and sending/receiving/processing mail.
  • Perform office duties including handling office supplies and maintaining office efficiency.
  • Serve as point-of-contact on behalf of covered professionals for internal and external constituents, including senior professionals of Athene as well as key contacts at other companies.
  • Exercise quality judgment and discretion in identifying and safeguarding all matters of a confidential and highly sensitive nature.
  • Screen incoming calls and greet guests in a professional and pleasant manner.
  • Schedule and coordinate meetings, conferences, and off-sites, including all logistics.
  • Allocate and process expenses for professionals using Concur system.
  • Author documents on follow-up issues or correspondence to inform all relevant contacts of updates, deadlines or information specific to their requests or projects/tasks.
  • Handle coordination of all logistics for recruiting and onboarding team members.
  • Perform additional relevant tasks as assigned and required.


Qualifications and Experience:

  • High school diploma required; Associate or bachelor’s degree preferred or equivalent combination of education & work experience.
  • 5+years of executive support experience is required, preferably in a corporate environment.
  • Extensive knowledge of Microsoft Outlook and proficient in Excel, Word, PowerPoint. Concur, Microsoft Teams and Salesforce a plus.
  • Outstanding attention to detail
  • Ability to thrive in a fast-paced and sophisticated work environment; demonstrated ability to prioritize competing demands and deliver results on schedule.
