Reporting directly to the Health and Welfare Benefits Manager, this position is responsible for managing leave and ADA accommodation and interactive process within the guidelines of federal and state laws, and company policies. You will provide best-in-class concierge support for team members, managers, and internal partners during the full leave cycle and ADA interactive process while working directly with third party leave

Key Responsibilities

  • Schedule calls and meetings with employees and HR Business Partners
    Respond to leave of absence inquiries by email or phone to ensure employees are aware of their responsibilities.
  • Accurately process leave actions in Company payroll, timekeeping and HR systems.
  • Interact with HR Business Partners and employees regarding their need for leave of absences and ADA regulations.
  • Partner closely with third party administrator
  • Maintain up-to-date knowledge of leave laws and ADA regulations.
  • Attend online meetings and/or onsite meetings.
  • Collaborates with Workers’ Compensation vendor on team member claims
  • Partner closely with Benefit team in design of leave policies
  • Oversees administration of Leave of Absence Programs and policies.
  • Creates and/or streamlines and implements processes and tools for the leave programs
  • Collaborate with the HRIS team to ensure successful vendor interfaces are in place
  • Drive the implementation, communication, and administration of leave programs
  • Revise internal documents, policies and communications as necessary to ensure company compliance
  • Develop, generate and present reports to analyze leave data and trends
  • Serves as the subject matter expert for the leave programs in alignment and under the general direction and guidance of HR leadership and Legal
  • Review and analyzes program utilization. Make recommendations on strategies to maintain cost effectiveness, and implement changes and/or enhancements
  • Process State Claims as necessary.

  • 3-5 years of experience in US disability/leave administration and ADA accommodation.
  • Deep understanding and application of federal and state disability and paid family leave laws (i.e., ADA, FMLA, CFRA, PDL, etc.).
  • Thorough understanding of the leave laws for the all states
  • Experience in administering a CA VDI Plan.
  • Independent worker and must be able to regularly exercise discretion, handle conflict and be firm when required.
  • Exceptional critical thinking and problem-solving skills. The ability to analyze complex questions and determine the best course of actions or recommendation.
  • Excellent oral and written communication skills. Able to effectively communicate with employees at all levels from senior management to junior-level employees.
  • Organized, detail oriented and able to manage multiple priorities in a fast pace environment
  • Must be able to maintain confidentiality of protected and sensitive data and ensure compliance with HIPAA

  • Strong business acumen and analytical skills
  • Excellent interpersonal, communications, customer service and presentation skills.  Ability to persuade and influence with all levels of internal and external business partners
  • Ability to take initiative and make decisions under pressure
