Job Summary

Member of the HR Service Delivery team, responsible for specific HR related administration throughout the employee life-cycle across EMEA and APAC. Supporting the HR Business Partners (aka Employee Relations), Recruitment and Payroll teams with maintaining and delivering key HR processes. Support with identifying, recommending and implementing process improvements in order to support the delivery of an efficient, accurate and flexible HR service to the business.

Essential Duties
  • Coordinating the administration and onboarding process for new starters, with close liaison between the joining employee, the manager, the IT team, HR BPs and Payroll
  • Administration of employees on leave of absence e.g. maternity leave
  • Administration of the leaver process to include leaver letters, exit interview surveys and file archiving in accordance with legal compliance and policy requirements
  • Keeping abreast of changes in legal requirements, company requirements and ensuring HR SD procedures remain up-to-date
  • Submitting all required information to Payroll in a timely and accurate manner, acting as a POC for payroll team on any queries or discrepancies
  • General and ad hoc administration when required including but not restricted to completing verification of employment letters, visa letters, employment references for ex-employees and mass employee communications including mail merges
  • Act as a super-user on HCM (HR system) to include answering employee queries, supporting self-service, training new hires and administering holiday amendments
  • Provide regular and ongoing filing support and ensuring personnel files are secure, well maintained and orderly, promoting paperless HR wherever possible
  • Support managers with the probation process for their new hires, as applicable per country or entity
  • Reporting, data manipulation and analysis (regular and ad-hoc requests)
  • Requesting Purchase Order numbers for HR purchases/invoices
  • Supporting the team with evolution of key business reports to ensure they remain current, valuable and meaningful data
  • Maintenance of HR document templates, user guides and checklists
  • Actively participate in HR projects and wider business projects
  • Develop as a SME in assigned topic to act as POC for team members
  • Maintain an understanding of corporate and departmental policies regarding employee relations issues in order to support employees, managers and HR BPs
  • Where applicable, using language skills as required by the business and in order to deliver the highest quality of service

Minimum Qualifications (level I)

Education & Training
  • Educated to A’ Level qualifications or equivalent (work experience will be considered as a substitute)
  • Relevant HR studies, experience or training is highly advantageous
Skills & Knowledge
  • Administrative skills; ideally with work experience within an office environment
  • Fully IT literate; confident user of Word and Excel
  • Strong accuracy and attention to detail
  • Excellent communication skills

  • Flexible approach to working, able to work under pressure
  • Ability to work in a confidential environment

Minimum Qualifications (level II)

Education & Training
  • Educated to A’ Level qualifications or equivalent (work experience will be considered as a substitute)
  • Minimum 12 months experience in a HR environment
    • OR foundation of HR knowledge evidenced through relevant degree level studies
  • Trained to at least Yellow Belt in Lean Six Sigma
Skills & Knowledge
  • Strong administrative skills within a commercial office environment
  • Fully IT literate ideally with experience of HR systems / software
  • Good understanding of HR policies and procedures
  • Advanced Excel skills, ability to produce reports and manipulate data

  • Able to work independently, shows initiative
  • Works effectively under pressure
  • Proven ability to work to tight time-lines and meet deadlines
  • Proactive approach to processes, identifying improvements
  • Project coordination skills, able to pull information together from multiple sources and network with individuals within and outside of HR to complete business objectives
