Job Description

Position Overview:

The primary responsibility of the Assistant – Convention Sales is to provide administrative support to designated Sales Managers or Directors. All duties are to be performed in accordance with departmental and The Venetian Resort’s policies, practices, and procedures.

Essential Duties & Responsibilities:

  • Perform effectively within the defined sales roles, internal sales processes and departmental/Company policies and procedures.
  • Generate proposals, contracts, addendums, turnovers and other internal documents in an efficient and timely manner.
  • Compile and generate expense reports and route accordingly and in a timely manner.
  • Update and complete all data for complimentary charges within the Company Comp system.
  • Process Amenity orders for Site inspections and VIP’s and other requests as needed.
  • Scheduling appointments, maintain Calendars, and make travel arrangements.
  • Answers, screens and routes telephone calls as needed.
  • Assists with phone and receptionist coverage.
  • Assists managers with site inspection coordination as needed.
  • Develop and maintain positive and appropriate relationships with clients and guests to support sales efforts.
  • Initiative to solve problems to resolution.
  • Support other members of the Sales Team as needed.
  • Document all pertinent contract routings and other necessary information as defined by department SOP’s and sales process.
  • Safety is an essential function of this job.
  • Consistent and regular attendance is an essential function of this job.
  • Performs other related duties as assigned.

Minimum Qualifications:

  • 21 years of age.
  •  Proof of authorization/eligibility to work in the United States.
  • High School Diploma or equivalent.
  • Bachelor’s Degree in Hotel Management preferred.
  • Must be able to obtain and maintain any other certification or license, as required by law or policy.
  • 1 year of Hotel sales administrative experience in luxury property preferred.
  • Proficient with Microsoft Office to include Word, Excel, PowerPoint and SharePoint.
  • Some Familiarity with Delphi or Daylight or Microsoft Dynamics CRM.
  • Organization skills and coordinating work without direct supervision.
  • Attention to detail, strong typing, customer service, and listening skills.
  • Ability to communicate clearly and effectively in English, both in spoken and written form.
  • Strong interpersonal skills with the ability to communicate effectively with guests and other Team Members of different backgrounds and levels of experience.
  • Must be able to work varied shifts, including nights, weekends and holidays.

Physical Requirements:

Must be able to:

  • Lift or carry 10 pounds, unassisted, in the performance of specific tasks, as assigned.
  • Physically access all areas of the property and drive areas with or without a reasonable accommodation.
  • Maintain composure under pressure and consistently meet deadlines with internal and external customers and contacts.
  • Ability to interact appropriately and effectively with guests, management, other team members, and outside contacts.
  • Ability for prolonged periods of time to walk, stand, stretch, bend and kneel.
  • Work in a fast-paced and busy environment.
  • Work indoors and be exposed to various environmental factors such as, but not limited to, CRT, noise, dust, and cigarette smoke.
